Cleaning Company Marketing in Canada: Recurring Clients and the Janitorial Bid Kit
How Canadian cleaning companies win recurring residential clients and janitorial contracts: profile categories, instant quotes, CAD lead ranges, green claim rules, Quebec's maintenance decree and the bid kit procurement scores you on.
A homeowner in Mississauga who wants a biweekly cleaner types "house cleaning near me", scans the map pack, reads the newest reviews and books whoever gives her a price without a sales call. BrightLocal's local consumer review survey finds year after year that most consumers use Google to judge a local business, and that a rating under four stars removes most companies from the shortlist. For cleaners, the reviews that convert mention punctuality, the same cleaner each visit, and nothing broken or missing.
Commercial buyers behave differently. A property manager in Calgary collects three quotes and expects paperwork before anyone walks the site: a certificate of insurance (CAD 2 to 5 million in commercial general liability is the common ask), a WSIB or WCB clearance certificate, a fidelity bond and background-checked staff. Those buyers run their own acquisition problem while they shop for you, which our property management marketing guide covers from their side.
Statistics Canada files cleaning firms under services to buildings and dwellings, tens of thousands of locations, most of them owner-operators with no payroll. Franchises such as Molly Maid, JAN-PRO and Coverall carry recognition an independent cannot buy; independents win on response speed and documented trust.
One profile, two businesses: House Cleaning Service and Janitorial Service
Your profile decides whether you appear for "cleaning services near me" or for "janitorial services Toronto", and those are not the same buyer. Set the primary category to House Cleaning Service if recurring residential work pays the bills, add Janitorial Service as a secondary, and price every listed service. Keywords stuffed into the business name get listings like "Best Vancouver Cleaning Services Inc." (Google Business Profile Help) suspended, and suspension takes your map pack leads with it.
Reviews decide the shortlist, and buyers discount anything older than a few months, so ask by text after the first clean and every few recurring visits. Never gate requests to the customers you expect to be happy, and never discount for a review; both breach Google's policies, and the Competition Bureau treats incentivized reviews as deceptive marketing. Our guide on how to get more Google reviews in Canada has the scripts.
The instant quote calculator is the whole residential funnel
Residential leads go to whoever answers first with a price. If your site says "call for a quote", you lose to the competitor running an instant quote calculator through Jobber, Housecall Pro or ZenMaid. Put it at the top of every service page, price by bedrooms and bathrooms, and let people book without a phone call.
Then prove trust in the order buyers check it: coverage amounts for insurance and bonding, WSIB or WCB registration, background-checked cleaners, the same crew each visit, a re-clean guarantee, and your key and alarm code policy. Add a "what is included" checklist for standard, deep and move-out cleans, the comparison buyers cannot make elsewhere. A website development build that does all of this runs from a few thousand dollars into five figures.
Two keyword sets: entretien ménager and cleaning by facility type
Residential and commercial searches deserve separate pages: one per residential service and city ("deep cleaning Ottawa", "Airbnb cleaning service Vancouver") and one per commercial vertical ("office cleaning Mississauga", "medical office cleaning Edmonton"), each with real price ranges and FAQ structured data so AI Overviews, ChatGPT and Gemini have something concrete to cite.
In Quebec, write the French pages first rather than translating: "entretien ménager Montréal", "femme de ménage Laval" and "nettoyage commercial Québec" carry intent that literal translations do not. Keep your name, address and phone identical across Google, Apple Maps, HomeStars and Facebook, since AI answers lean on consistent listing data, not ad spend. Our local SEO service is built on this page-per-service, page-per-city structure.
Local Services Ads, the Verified badge and what a cleaning lead costs
Google Local Services Ads sit above the search ads, include house cleaning among the eligible Canadian categories, and charge per lead instead of per click. (Google Local Services Help) Screening takes weeks: business registration, liability insurance and third-party background checks for anyone entering customers' homes. Google also folded its Guaranteed and Screened badges into a single Verified badge in late 2025, so read the current terms before you print a badge on a van. (Google Local Services Help)
Canadian cost data for cleaning is thin. The ranges below are planning figures adjusted from North American home services benchmarks published by LocaliQ and WordStream, not surveyed Canadian averages.
| Channel | Planning range (CAD) | Best use |
|---|---|---|
| Search click, residential | About 4 to 12 | "house cleaning [city]" |
| Search click, commercial | About 8 to 20 | "janitorial services [city]" |
| Search lead | About 60 to 150 residential, 150 to 400 commercial | Bookings, proposals |
| Local Services Ads lead | About 25 to 100 | Residential, post-screening |
| Meta lead form | About 15 to 50 | Recurring offers, retargeting |
A recurring biweekly client is often worth several thousand dollars a year, which makes a CAD 100 residential lead rational and a CAD 300 lead cheap for a three-year office contract, so do not judge both funnels against one target.
CanadaBuys, MERX, SEAO and the bid kit that clears the qualification gate
HomeStars is the directory homeowners still check, Jiffy matters where it operates, and Kijiji still produces cheap move-out leads. Answer the "who do you use" threads in neighbourhood Facebook groups with a client recommendation; a referral credit usually costs less per recurring client than a paid lead.
Commercial is a different funnel, and most of it is paperwork. Build a LinkedIn presence aimed at property and facility managers, join your BOMA chapter and ISSA Canada, and register where the work is posted: CanadaBuys federally, plus MERX, Biddingo, BC Bid, the Ontario Tenders Portal and SEAO. Federal janitorial work runs through the Contract Security Program administered by Public Services and Procurement Canada, and a solicitation can require cleaners in federal buildings to hold Reliability Status screening, which takes too long to begin after a bid closes. (Public Services and Procurement Canada) Painting contractors clear the same gate with the same property managers; our painting contractor guide covers the overlap.
Keep a bid kit ready so no RFP waits on paperwork:
- Insurance certificate with current limits, plus your fidelity bond.
- WSIB, WorkSafeBC, WCB or CNESST compliance document for that province.
- WHMIS records and your safety data sheet index.
- Scope of work, frequency schedule and inspection checklist.
- Green certifications: Green Seal, ECOLOGO or ISSA CIMS-GB.
- Three references from comparable facilities, plus screening status for secure sites.
Advertising, green claims and conduct rules for Canadian cleaning companies
This section is general information, not legal advice. The Competition Act prohibits false or misleading representations, and a claim such as "removes 99.9 percent of germs" must rest on adequate and proper testing done before you publish it. Bill C-59 added provisions in June 2024 requiring product claims such as "non-toxic" to meet that testing standard and business-level claims such as "green cleaning company" to be substantiated by the advertiser. (Competition Bureau Canada) Bill C-15 narrowed that business-level provision in March 2026, dropping the internationally recognized methodology wording, though the burden still sits with you. (Competition Bureau Canada) Name the certified products you use instead of writing "chemical-free", and keep disinfection claims to products carrying a Health Canada drug identification number. (Health Canada)
"Bonded and insured" is only true if every cleaner on the job is covered, which makes worker classification under the CRA's Employment status: Employee or self-employed guidance (which replaced guide RC4110 in January 2026) a marketing question as much as a payroll one. Advertised "from CAD 99" pricing must be genuinely available, and mandatory supply or travel fees revealed at checkout are drip pricing, prohibited under the Competition Act and Quebec's Consumer Protection Act.
Quebec adds a layer. Public building maintenance in the Montreal and Quebec City regions falls under a provincial decree administered by the comités paritaires de l'entretien d'édifices publics, which sets minimum working conditions for that workforce, so an advertised price there sits on a cost floor Ontario competitors do not carry. Quebec buyers also ask for CNESST compliance documentation rather than a WSIB clearance certificate, and Bill 96 requires your site, profile, quotes and invoices in French with at least equivalent prominence; our Bill 96 marketing guide covers the website side.
Reminder texts and reactivation email fall under CASL, where the consent window on an old quote request is shorter than most owners assume; our CASL compliance guide has the rules. PIPEDA, and Law 25 in Quebec, covers the keys, alarm codes and home photos you hold.
Salt season, spring melt and the July 1 moving day
Residential search interest bottoms out in late December and climbs sharply in March, when melting snow and road salt push spring demand through May. A second rise lands in late August with back to school resets, and a third runs from November to mid-December ahead of holiday hosting. January is soft for one-time cleans and strong for recurring sign-ups. Move-out work tracks month ends and, in Quebec, spikes around the July 1 moving tradition, which deserves its own campaign built in early June.
Commercial is steadier but budget-driven: property managers tender for January starts and governments for April fiscal years, so Q3 and Q4 outreach wins next year's contracts. Post-construction work follows the May to October build season, and winter sells entrance matting and salt-stain removal. Hold minimum visibility in midwinter.
Cost per recurring client, and the churn number that sets the budget
Cost per lead is the wrong headline number when you bill the same address twice a month. Track five things monthly: leads by source with a tracking number per channel, quote-to-booking rate, the share of first cleans that become recurring, cost per new recurring client, and churn. For commercial, measure cost per qualified proposal and win rate, not raw lead count. BDC and CFIB research puts marketing spend for established small companies in the mid single digits as a share of revenue, with growth-stage firms roughly double that, and churn decides which end of that band you belong at.
Ninety days: screening first, the bid kit second, the melt third
- Days 1 to 30. Fix the profile: category, service area, priced services, photos of real crews. Start a text review request after every job, and begin Local Services Ads screening, because its clock gates everything else. Audit every trust claim on the site against your insurance and compliance certificates, then install the calculator.
- Days 31 to 60. Publish one page per service and city with FAQ structured data, claim HomeStars, Jiffy and Facebook, and write the French pages if you serve Quebec. Launch search ads on residential terms with call tracking, then assemble the bid kit and register on the tender portals before Q4 postings.
- Days 61 to 90. Turn Local Services Ads on once screening clears, add Meta retargeting, start LinkedIn outreach to property and facility managers, and time the residential push to land before the March melt. Review cost per recurring client, then move budget.

Frequently asked questions
- Is a CAD 100 lead too expensive for a residential cleaning client?
- Not if the client recurs. A biweekly account that stays two years is worth several thousand dollars, so the number to watch is cost per client who books a second visit, not cost per lead. One-time move-out cleans are a different calculation, and a lead price that works for recurring work can lose money on them.
- Do all our cleaners need background checks before Local Services Ads will run?
- Anyone entering a customer's home, yes. Google's Canadian screening for the house cleaning category covers business registration, proof of liability insurance and third-party background checks, and it takes weeks rather than days. Google also folded its Guaranteed and Screened badges into one Verified badge in late 2025, so confirm the current terms in your dashboard before you advertise a badge.
- Which green cleaning claims can a Canadian company actually substantiate?
- Only the ones you hold paper for. Under the Competition Act, product claims such as "non-toxic" need adequate and proper testing done beforehand, and business-level claims such as "green cleaning company" need substantiation, with the burden on you. Bill C-15 removed the internationally recognized methodology wording in March 2026, but not that burden. Safer wording names the ECOLOGO or Green Seal certified products you use.
- What paperwork does a Canadian janitorial bid actually get scored on?
- Insurance, commonly CAD 2 to 5 million in commercial general liability, a WSIB, WCB or CNESST compliance document, bonding, WHMIS records, an inspection schedule and references from comparable facilities. Federal work can add personnel screening at the Reliability Status level through the Contract Security Program. Assemble that kit before you register on the portals, not after a solicitation closes.
